Job Purpose:

 

The Operations Assistant will provide support to Logistics, Finance and Administration departments. S/he will also provide IT user support in systems usage and functionality within the Somaliland programme offices in line with Concern’s ICT strategy, policies and procedures. Further, the intern will provide general support to programmes as needed and as indicated by the line manager.               

 

Main duties &

Responsibilities:

 

LOGISTICS SUPPORT

⇨Assist the Logistics Officer on the procurement of programme supplies, services and fleet management in line with Concern procurement policies and procedures

⇨Complete SRs, GRN, GDN for purchases of goods and services as and when required

⇨Update SRs tracking sheet to ensure programme and admin staff are aware of progress of procurement process of goods and services requested

⇨Assist in the management, storage and dispatch of  project goods and supplies to the intended destinations in an efficient manner

⇨Update the fixed asset register on a monthly basis with the help Logistics Officer

⇨Assist in maintaining proper logistics filing systems

⇨Replacement of the Logistics officer while he is on leave

⇨Willingness to travel on short-term assignments to the field as needed

 

IT SUPPORT

 

·    End User Support and Capacity Building

⇨Assist in investigating IT related faults  reported and carry out the necessary trouble shooting required with the support of the ICT Manager

⇨Assist users with file management system and familiarisation of IT functionalities

 

·    Technical Support

⇨Assist in the implementation and support of IT systems & network installations in accordance with Concern IT policies and procedures

⇨Undertake hardware moves between sites and offices  as directed by the ICT Manager

⇨Implement hardware and software upgrades as instructed by the ICT manager

⇨Implement, monitor and support backup and data recovery as requested

⇨Investigate and report problems with office equipment e.g. photocopiers, printers, scanners, faxes etc.

 

·    Asset Management

⇨Maintain asset register of IT equipment – hardware, software, radios and network equipment of Somaliland programme.

⇨Track & control movement of equipment between sites and temporary off site work.

⇨Track and control equipment being added to the network by visiting staff and consultants ensuring compliance with procedures for such movements and data exchange.

⇨Maintain a schedule of hardware and software upgrades (e.g. virus protection) and ensure all PCs are kept up to date with operating systems patches and antivirus software as advised by the ICT Manager

 

·    IT Administration

⇨Liaises closely withIT users and Field Management, Helpdesk and Programme ICT Manager             

 

ADMINISTRATIVE SUPPORT

⇨Liaise with Administration Officer in undertaking the necessary admin related functions (e.g. visa processing, hotel/venue booking, flight booking, settling down utilities bills, minor repairs and maintenance, etc)

⇨Execute short-term tasks as required, including scanning, photocopying, filing documents, etc.

⇨Replacement of the admin officer while she is on leave.

PROGRAMMES SUPPORT

⇨As needed, support programmes in executing preparation and implementation, in particular of emergency and resilience programme activities during periods of extraordinary burden.

⇨This may include travel to the field and ad hoc, interim reporting lines as needed to satisfy programme and donor requirements.

 

Person specification:

 

Essential:

 

  • MCSE/CCNA or other IT professional qualifications preferred, Diploma in IT or related field.
  • Minimum of 2 years of experience in busy computerised environment involving upgrades, troubleshooting, testing and maintenance of PCs
  • Helpdesk experience
  • Knowledge of PC, network architecture  and cabling systems , Windows Operating System , Ethernet, TCP/IP protocols and other Microsoft products
  • Minimum of 6 months of experience coordinating and/or supporting logistics tasks, especially for international NGOs
  • Minimum of 6 months of experience coordinating and/or support procurement processes, especially for international NGOs
  • Minimum of 1 year of experience in an administrative or related support role
  • Excellent organizational, planning and management skills
  • Good interpersonal and communication skills
  • Innovative
  • Ability to work under pressure
  • Willingness to work long hours to achieve results
  • Knowledge of Concern IT, logistics, and administrative functions is an advantage
